When the company has many employees, you do not need to open each profile individually to find out who has issues.
The group view in Super Punch consolidates the main indicators for the selected period and helps identify which teams and employees actually need to be reviewed. This allows the person responsible to start with groups that have the highest number of Pending Punches, Invalid Punches, Missing Days, or differences between planned and worked hours.
After identifying the teams that need attention, open only the employees with issues and use filters and bulk actions to speed up the review.
1. Define the period to be analyzed
Before reviewing the groups:
- In the sidebar, go to Attendance;
- Remain on the Super Punch tab;
- Select the period you want to review;
- Confirm that information has been loaded for the selected dates.
The period can be defined according to the purpose of the review:
- Day: to monitor recent issues or perform a daily review;
- Week: to maintain a review routine and prevent issues from accumulating;
- Month or closing period: to identify everything that still needs to be handled before closing.
Super Punch uses the selected period to consolidate the indicators displayed in the group view.
2. Open the group view
To stop viewing employees individually:
- Open the Group, Employee filter;
- Select a group option, such as All Teams;
- Wait for the table to load;
- Review each row displayed.
When you select All Teams, for example, each row represents a team and displays the consolidated results for the employees assigned to it. Other grouping options may also be available in the same filter.
3. Use the indicators to set priorities
In the group view, focus mainly on:
- Employee: number of people included in the group;
- Pending Punches: records awaiting review and approval;
- Invalid Punches: records made outside the configured limits;
- Progress: relationship between worked hours and planned hours during the period;
- Missing Days: days with planned work but no punches;
- Extra Hours: total displayed for the group;
- Hours Bank: result generated during the period.
These indicators help identify groups with the greatest risk of inconsistencies without opening every employee. A good approach is to start with groups that have many Pending Punches and/or Invalid Punches, low Progress, or a high number of Missing Days.
4. Organize the review according to your objective
The order of the review may vary depending on the issue that needs to be resolved.
To handle Pending Punches and Invalid Punches
- Compare the Pending Punches and Invalid Punches columns;
- Open the groups with the highest numbers first;
- Within the group, locate the employees with issues;
- Open only those employees;
- Review and handle the required records.
Only valid records are considered in Worked Hours and related calculations. Therefore, Pending Punches and Invalid Punches should be reviewed before the final review of the period.
To locate possible Missing Days
- Review the Missing Days column;
- Open the groups with occurrences;
- Locate the affected employees;
- Check whether there really were no punches;
- Review the applied Schedule and any absence requests.
A Missing Day shown for the group indicates a day with planned work but no employee punches.
To review hours before closing
- Compare the Progress of the groups;
- Review the Extra Hours and Hours Bank results;
- Prioritize groups with results that differ from what was expected;
- Open the employees who need review;
- Review punches, Schedules, absences, and classifications before completing the period.
5. Open only the employees who need review
After identifying a group with issues:
- Click the group;
- Review the employees displayed;
- Locate those with issues;
- Click the employee's name;
- Review only the days that require attention.
The group analysis works as a screening step. You do not need to open every employee: individually review only those with results that require an explanation or correction.
6. Show only days with issues
In the employee's individual view:
- Confirm the selected period;
- Click the filter icon;
- Enable Show Only Issues;
- Review only the dates displayed.
This filter hides days that do not require action and makes it easier to locate Pending Punches, Invalid Punches, Missing Days, or out-of-order records.
7. Use bulk actions after reviewing the records
When several days require the same action:
- Select the checkboxes next to the dates;
- To select all displayed days, use the checkbox next to the Date column;
- Wait for the action bar to appear at the bottom of the screen;
- Select the appropriate action;
- Confirm the operation;
- Review the results after the update.
Actions available in Super Punch include:
- Approve all: approves Pending Punches and Invalid Punches for the selected dates;
- Validate all: validates Invalid Punches;
- Organize chronologically: reorganizes records that are out of order;
- Clear punches: removes punches from the selected dates;
- Remove Schedule: turns the selected dates into days without a planned Schedule.
Use bulk actions only after confirming that all selected dates can receive the same treatment.
8. Create a review routine
To avoid concentrating the entire review only at closing time, establish a routine:
- Daily: review recent issues for teams with a high volume of records;
- Weekly: review groups with Pending Punches, Invalid Punches, Missing Days, or Progress below expectations;
- Before closing: review the entire period, handle the remaining issues, and check the final results.
Frequent reviews reduce the amount of corrections required at the end of the month and allow managers to prioritize teams with the greatest risk of inconsistencies.
Practical example
A company has 200 employees distributed across ten teams.
After selecting All Teams, the person responsible identifies that:
- Eight teams have no Pending Punches or Invalid Punches;
- One team has two Pending Punches;
- Another team has 15 Pending Punches, six Invalid Punches, and Progress below expectations.
In this case, there is no need to open all 200 employees. The person responsible can start with the team that has the most issues, locate only the affected employees, and use Show Only Issues to review the dates that require action.
Then, they can review the second team and complete the process without individually opening the groups that did not present any issues.
Tips and troubleshooting
- There are many employees to review: start with the group view and open only teams with issues.
- I don't know which group to review first: prioritize those with many Pending Punches, Invalid Punches, Missing Days, or low Progress.
- A team does not appear: confirm that it is registered in the Company Structure and has employees assigned to it.
- The data did not load: check the selected period and wait for the screen to update.
- The group has issues, but I don't know which days: open the employee and enable Show Only Issues.
- There are many dates with the same issue: review the records and use a bulk action when all of them can receive the same treatment.
- The monthly period has many issues: adopt a weekly review routine to prevent accumulation before closing.
- The hours look incorrect: check Pending Punches, Invalid Punches, Missing Days, out-of-order records, and the applied Schedule.
