The order and classification of punches are used to identify when the employee started or ended each work period and break.
When the punches are not in a valid sequence, Super Punch may display the message:
Daily working hours might be incorrect. Please check the punches order.
This alert indicates that the times need to be reviewed because the current organization may affect the calculation of Worked Hours, breaks, Overtime, or Hours Bank.
Extra attention is required when the employee has more than four punches on the same day or works a Schedule that crosses midnight.
1. Identify days with out-of-order punches
Go to Super Punch, select the employee, and review the desired period.
Days that need to be reviewed may display:
- A warning icon next to the punches;
- An indication of an error in the number of breaks;
- The message Daily working hours might be incorrect. Please check the punches order.
Before validating the day, check all recorded times and the category assigned to each one.
2. Check the punch sequence
For a Schedule with four punches, the organization normally follows this sequence:
- Entry;
- Break Start;
- Break End;
- Exit.
Example:
- 08:00 — Entry;
- 12:00 — Break Start;
- 13:00 — Break End;
- 17:00 — Exit.
A later time should not appear before an earlier time within the day's sequence.
Example of an incorrect order:
- 08:00 — Entry;
- 13:00 — Break Start;
- 12:00 — Break End;
- 17:00 — Exit.
In this case, the break punches are reversed and Worked Hours may be calculated incorrectly.
3. Organize punches chronologically
To reorganize the times according to chronological order:
- In Super Punch, locate the day with the inconsistency;
- Select the checkbox next to that day;
- In the action bar displayed at the bottom of the screen, select Organize chronologically;
- Wait for the reorganization;
- Check the time sequence and the displayed results again.
You can also select multiple dates and use Organize chronologically as a bulk action.
Important: chronological organization helps place the records in sequence, but you still need to check whether each punch was associated with the correct category. When necessary, manually reorganize a punch or create a punch to complete the Schedule.
4. Reorganize a punch into another category for the day
When the time already exists but is associated with the wrong category, you can select that record in another Schedule position.
For example, a punch that should be in a break may be associated with Entry or Exit.
To reorganize:
- In Super Punch, locate the day you want to correct;
- Click the category that should receive the punch, such as Entry, break, or Exit;
- If you are correcting a break, open the cell that displays the number of breaks;
- Select the position you want to fill;
- In the Select punch window, review the punches available for that day;
- Choose the correct time;
- Check whether the record now appears in the desired category;
- Review the entire sequence for the day again.
Example:
- The employee has punches at 08:45, 09:00, and 12:05;
- One of the times was associated with the wrong position;
- When opening the correct category, select from the list the time that should occupy that position.
Use this option when the punch has already been recorded and only its category needs to be corrected.
Important: do not create a new punch when the correct time already exists. First, try to reorganize the available punch into the corresponding position.
5. Create a punch when a record is missing
If the sequence is incorrect because a punch was not recorded, you can make an adjustment by creating a new punch.
To add a punch:
- In Super Punch, locate the day that needs to be corrected;
- Open the category or break where the punch is missing;
- Click + Create punch;
- In the New punch window, confirm the employee;
- Fill in the Date;
- Enter the Time of the punch;
- Select the Type, such as Entry, Break Start, Break End, or Exit;
- Select the Location;
- Enter the Reason for the adjustment;
- For Schedules that cross midnight, select Night - Continue Schedule after midnight when the punch belongs to the Schedule that started on the previous day;
- Click Confirm;
- Check the organization and calculation for the day.
Example:
- The employee recorded Entry at 08:00, return from break at 13:00, and Exit at 17:00;
- The break start punch was not recorded;
- Create a new punch with the correct time and select the type corresponding to the start of the break.
Important: before creating a punch, confirm that the time is not available under another category for the same day. This prevents duplicate punches.
6. How do I organize a day with more than four punches?
When the employee has more than four records, the additional punches must be associated with the break categories configured in the Schedule.
In Super Punch, these punches are located within the break category. Select the cell displaying the number of breaks to review the times and their respective positions.
Example of a day with six punches:
- 08:00 — Entry;
- 12:00 — Start of the first break;
- 13:00 — End of the first break;
- 15:00 — Start of the additional break;
- 15:15 — End of the additional break;
- 18:00 — Exit.
Check whether:
- Each break start has a corresponding break end;
- Additional punches are in the correct break category;
- The times follow the order in which they occurred;
- The first punch represents Entry;
- The last punch represents Exit;
- There are no duplicate times or times without a corresponding punch.
When one of the punches is in the wrong category, open the correct position and select the available punch. When a punch is actually missing, use + Create punch to create the adjustment.
7. How do I organize punches for a night Schedule?
When a Schedule crosses midnight, the times may belong to the same Schedule even if they were recorded on different dates.
Punches recorded after midnight may appear on the row for the previous Schedule, with the actual punch date displayed below the time.
Example of a Schedule that started on 01/07:
- 22:00 — Entry on 01/07;
- 01:00 — Break Start on 01/08;
- 02:00 — Break End on 01/08;
- 07:00 — Exit on 01/08.
Although three punches occurred on 01/08, they may be related to the Schedule that started on 01/07.
When organizing the punches:
- Check the time of each record;
- Observe the date displayed below punches made after midnight;
- Organize the records according to the actual sequence in which they occurred;
- Do not automatically move a punch to another Schedule simply because it was recorded on the following day;
- Confirm which Schedule was assigned to the employee;
- When creating a manual punch, use Night - Continue Schedule after midnight when the punch belongs to the Schedule that started on the previous day.
Important: for night Schedules, do not analyze only the date of the Super Punch row. The date shown below the punch indicates when the punch was actually recorded.
8. Check the result before validating
After organizing or creating the punches:
- Check whether the times are in ascending order;
- Verify that each break start has a corresponding break end;
- Confirm that Entry and Exit are in the correct positions;
- Review the number of breaks;
- Observe the dates shown for punches on night Schedules;
- Check that no duplicate punches were created;
- Review Worked Hours, Missing Hours, Overtime, and Hours Bank again;
- Check whether the out-of-order punch alert is still displayed.
Out-of-order punches should be corrected before validating the day.
Tips or troubleshooting
- Super Punch displays the incorrect hours message: review the sequence and use Organize chronologically.
- Chronological organization did not produce the expected result: manually reorganize punches between the day's categories.
- A time is in the wrong category: open the correct category and select the punch in the Select punch window.
- A punch is missing: use + Create punch, fill in the new punch information, and confirm the adjustment.
- The number of breaks shows a warning: open the breaks cell and review the times and their positions.
- There are six or more punches on the day: organize the records in pairs and identify which ones belong to additional breaks.
- A punch after midnight appears to be on the wrong day: check the date displayed below the time and confirm the Schedule start date.
- The Organize chronologically action does not appear: check whether your permission level allows you to organize punches in Super Punch.
- The calculation is still incorrect after organizing: confirm the employee's Schedule, the category of each punch, and whether any punch is still missing.
