An Automatic Schedule, automatically creates the employee's planned punches according to the times configured in the Schedule.
Automatic punch generation is determined by the Schedule, not by an individual employee setting. Therefore:
- If the employee is assigned to an Automatic Schedule, the planned punches will be created automatically;
- If they are transferred to another Automatic Schedule, punches from the new Schedule will begin to be created on the following day;
- If they are transferred to a Schedule that is not automatic, no new automatic punches will be created;
- To create a new Automatic Schedule, you must contact Support at suporte@oitchau.com.br.
In this model, the employee or person responsible only needs to make adjustments when there is a difference between the planned times and what actually happened.
1. What is an Automatic Schedule used for?
An Automatic Schedule can be used by companies that want to automatically fill in employees' planned punches.
Instead of manually recording each Entry, break, and Exit, the platform creates the punches according to the times configured in the Schedule. When the employee works differently from what was planned, only that exception needs to be corrected.
Example:
- The Schedule has an Entry at 08:00;
- Break from 12:00 to 13:00;
- Exit at 17:00;
- All four punches are created automatically;
- If the employee actually left at 16:00, the Exit punch must be corrected to reflect the time that was actually worked.
2. What determines whether punches are created automatically?
The configuration belongs to the Schedule.
This means that it is not enough for the employee to have previously used an Automatic Schedule. Automatic generation will continue only while the employee is assigned to a Schedule configured as automatic.
The main scenarios are:
- Remained on the same Automatic Schedule: punches continue to be created normally;
- Was transferred to another Automatic Schedule: punches from the new Schedule begin to be created on the following day;
- Was transferred to a non-automatic Schedule: automatic punch creation stops;
- Needs a new Automatic Schedule: the company must request its creation from Support.
Important: simply changing the times or transferring the employee to a regular Schedule does not make that Schedule automatic.
3. How to request the creation of an Automatic Schedule
A new Automatic Schedule must be requested from the Support team.
To do this:
- Send an email to suporte@oitchau.com.br;
- Inform which company will use the configuration;
- Explain which times should be included in the Schedule;
- Inform which employees or groups will use Automatic Schedule;
- Wait for the analysis and configuration instructions.
Before submitting the request, carefully review the planned times, as they will be used to create the automatic punches.
4. When are automatic punches created?
Automatic punches are generated at specific times during the day.
When the process runs, all planned punches for that date are created at once. Therefore, Entry, break, and Exit punches may appear before each planned time actually occurs.
Example:
- The Schedule has an Entry at 08:00 and an Exit at 17:00;
- Automatic generation runs during the day;
- Both times may appear together even if it is not yet 17:00.
The presence of the Exit punch does not necessarily mean that the employee has already finished work. It represents the time planned in the Automatic Schedule.
5. How can I identify an automatically created punch?
When reviewing the employee's date, check whether the times exactly match the Schedule planning.
Automatic punches normally have the following characteristics:
- They match the planned times;
- They are created together for the entire day;
- They do not depend on a punch recorded by the employee;
- They can be identified in the punch details or history as automatically generated punches.
If the times are different from what was expected, first check which Schedule was assigned to the employee on that date.
6. What happens when there is a full-day absence?
When a full-day Absence Request is applied, the automatic punches for that date are removed.
This prevents the same day from showing both:
- A valid full-day absence;
- Automatic Entry, break, and Exit punches.
After applying the absence, check the day in Super Punch to confirm that the punches were removed and that the correct occurrence is displayed.
The removal described in this article applies to absences that cover the entire day.
7. Can automatic punches be created retroactively?
No. Automatic Schedules do not create punches for previous dates.
If an Automatic Schedule starts being used today, it will not automatically fill in days that have already passed. Previous records that need to be added or corrected must be handled through punch adjustments.
Example: if the Automatic Schedule starts on the 15th, punches for days 1 through 14 will not be generated automatically.
8. What happens when the employee is transferred to another Automatic Schedule?
When the employee is transferred to another Automatic Schedule, punches from the new configuration begin to be created starting on the following day.
Example:
- The employee is assigned to Automatic Schedule A;
- The current day's punches have already been created according to that Schedule;
- During the day, the employee is transferred to Automatic Schedule B;
- The punches already created remain based on Schedule A;
- On the following day, punches begin to be generated according to the times in Schedule B.
The change does not automatically replace punches that have already been created for the current date. If those records are incorrect, they must be reviewed and adjusted.
9. What happens when the employee is transferred to a non-automatic Schedule?
When the employee is transferred to a Schedule that does not use Automatic Schedule, no new automatic punches will be created.
Starting on the following day, the employee must record punches using the methods allowed by the company, such as the app, Kiosk.
Example:
- The employee was assigned to an Automatic Schedule;
- They were transferred to a regular Weekly Schedule;
- Automatic punches already created for the current day remain;
- Starting on the following day, the platform stops automatically generating Entry, break, and Exit punches.
If the company expected the new Schedule to also be automatic, its creation must be requested from Support.
10. What should I review before changing the employee's Schedule?
Before making the change:
- Check whether the destination Schedule is automatic or regular;
- Confirm the date when the new Schedule should begin;
- Check whether the automatic punches for the current day have already been created;
- Review the times in the destination Schedule;
- Keep in mind that the new configuration will begin generating punches on the following day;
- Manually review the day of the change when necessary.
This review prevents the company from expecting automatic punches from a Schedule that does not have this configuration.
11. What should I do when the actual time worked was different from the automatic punch?
The automatic punch represents the Schedule planning. If the employee worked at a different time, the records must be corrected to reflect what actually happened.
Before making the adjustment:
- Check the planned times;
- Review the automatic punches that were created;
- Confirm the actual times worked with the employee;
- Correct the necessary records;
- Review Worked Hours and the other results for the day again.
Do not keep an automatic punch simply because it was created by the platform when the time does not match the work that was actually performed.
Tips or troubleshooting
- The punches appear before the planned times occur: all planned punches may be created together for the entire day;
- The configuration was enabled, but previous days are still empty: automatic generation does not occur retroactively;
- The employee moved to another Automatic Schedule: the new times will begin to be generated on the following day;
- The employee moved to a regular Schedule: no new automatic punches will be created;
- The company needs another Automatic Schedule: request its creation by emailing suporte@oitchau.com.br;
- The current day's punches still show the old times: records that have already been created are not automatically replaced after a Schedule change;
- A full-day absence was applied: check whether the automatic punches for that date were removed;
- The automatic time is different from expected: review the Schedule assigned to the employee and its times;
- I don't know whether the Schedule is automatic: confirm with the person responsible for the configuration or with Support;
- The employee worked at a different time: adjust the records to reflect the times actually worked.
