The retroactive schedule change feature allows administrators to modify a schedule’s hours or rules and apply those changes to past periods from a selected start date.
This saves you from editing each day manually. When changes are saved, the system recalculates hours and reports from the chosen date onward.
Open the schedule to be changed
In Schedules, select the existing schedule you want to modify.
Edit hours or rules
On the Details tab, make your changes to Entry, Exit and Breaks.
You may also adjust settings in Notifications and alerts, Schedule Limits, Advanced Breaks Management or Night shift.
Save and choose the start date
After editing, click Save schedule.
A Schedule Change window will appear asking for a Start Date. Select the date from which the new settings should apply.
Click Confirm to apply the changes retroactively. The system will recalculate punches and reports from that date.
If you do not wish to apply changes, click Cancel.
Additional notes
The Rotation start date of Rotative schedules cannot be altered; only times and rules may be changed.
Retroactive changes affect time records, hours banks and reports; review carefully before confirming.
Once confirmed, changes cannot be undone automatically.
Best practices
Perform retroactive changes only when necessary (e.g., to correct a schedule recently implemented).
Inform employees about retroactive adjustments to avoid confusion about recalculated hours.
After making the change, check reports and hours bank totals to ensure calculations are correct.
Frequently Asked Questions
Can I apply retroactive changes to all employees on the schedule? Yes. When you select the date and confirm, all employees assigned to the schedule are updated from that date onward.
What happens to records before the selected start date? Records before the start date remain unchanged. Only records from the selected date forward are recalculated.
Can I cancel after confirming? No. Once confirmed, the changes are applied. To revert, you would need to adjust the schedule manually or create a new one.
