The Overtime Request allows users to request an extension of an employee’s working hours for a specific day.
This request can be used when the employee needs to start earlier, leave later, or work on a non-planned day.
The request type must be enabled in Requests Settings and can be created by users with permission to create requests.
Key actions or configuration
- Open the requests screen
- In the side menu, click Absence & Vacation.
- Click New Request in the upper-right corner. The New Request window opens on the right side of the screen.
- Click Overtime.
- Select the employee and date
- In the Employees field, select the employee (or multiple) for whom the extension will be requested.
- In the Date field, choose the day of the extension.
- The platform identifies whether the selected date is a Planned day or a Non-planned day.
- The Sub-category field is filled automatically and appears locked.
- Complete the request for Planned day
- When the subcategory is Planned day, choose one of the options under What would you like to request?
- Select Enter earlier when the employee needs to begin work before the scheduled start time.
- Select Exit later when the employee needs to finish work after the scheduled end time.
- In How many additional hours do you need?, enter the extension amount in 00:00 format.
- In Comments, add the reason for the request.
- Click Confirm to submit or Cancel to exit without submitting.
- When the subcategory is Planned day, choose one of the options under What would you like to request?
- Complete the request for Non-planned day
- When the subcategory is Non-planned day, the form displays Start, End, and Total fields.
- In Start, enter the time when the additional shift begins.
- In End, enter the time when the additional shift ends.
- The Total field shows the calculated duration and appears locked.
- In Comments, add the reason for the request.
- Click Confirm to submit or Cancel to exit without submitting.
- When the subcategory is Non-planned day, the form displays Start, End, and Total fields.
- On the app
- Open the Day.io app and tap Requests.
- Tap the "+" icon and select Overtime.
- Follow the same steps: fill the fields depending on the subcategory. Tap Create to finish.
- Track the request
- After submission, the request appears in the requests list.
- Use Category and Status filters to locate it.
- The request remains pending until it is approved or denied by a manager with permission.
Tips or Troubleshooting
- If Overtime does not appear under New Request, check whether it is enabled in Requests > Settings.
- If the Sub-category field is locked, this is expected. The platform automatically defines whether the request is Planned day or Non-planned day based on the selected date.
- For Planned day, it is required to choose whether the extension is for Start earlier or Leave later.
- For Non-planned day, enter the correct Start and End times so the total duration can be calculated.
Best Practices
- Add a clear comment explaining the reason for the extension.
- Check that the selected date is correct before confirming.
- For planned days, correctly choose between Enter earlier and Exit later, as this information guides the manager’s analysis.
- For non-planned days, enter start and end times that match the actual requested work period.
