Employee visibility depends on three settings:
- The permission role assigned to the user;
- The People permission enabled for that role;
- The scope defined under CAN ACCESS TO, such as People, Teams, Departments, Subsidiaries, Cost center, or All company.
Because of this, a user may have access to a feature but only be able to view some employees. They may also be unable to find anyone if their permission role does not have an access scope configured.
1. Check which permission role is assigned to the user
Before changing any settings, confirm which permission role the person is using.
- Go to People;
- Search for the user who is having access issues;
- Check the Profile type column;
- Open the user's profile;
- Remain on the Details tab;
- Select Permission roles;
- Review the permission roles displayed in the profile.
An employee can have more than one permission role. In this case, review the scope configured for each role separately.
Example: a user may have the Basic role for their own access and the Supervisor role to view other employees.
2. Check whether the role allows access to People
After identifying the permission role assigned to the user, check whether the People feature is enabled.
- Click your initials in the upper-right corner;
- Go to Settings;
- Open the Permissions tab;
- Under Permission Levels, select the role used by the user;
- Under Attendance, locate People;
- Confirm that this option is enabled.
If People is disabled, users assigned to that role may not be able to access the employee list or select employees in other features.
Important: changes made to a permission role apply to the role itself. Therefore, they may affect all users who use that same role.
3. Check the Teams and who belongs to them
When visibility is limited by Team, the user will only see employees assigned to the Teams selected in their permission role.
To review the assignments:
- Go to People;
- Locate the employees who should be visible;
- Check the Supervisor column;
- Verify the Team shown for each employee;
- Confirm that the same Team is included in the user's permission scope.
For example, when the Supervisor column shows a specific supervisor's Team, the employee belongs to that group. If the supervisor's permission role is assigned to another Team, that employee will not be displayed.
Also check the Profile type column to differentiate:
- Employees who belong to the Team;
- Users who have the Supervisor role;
- Users who only have the Basic role.
To review a specific supervisor:
- Open the supervisor's profile;
- Go to Details > Permission roles;
- Locate the Supervisor role;
- Check the number of Teams displayed under CAN ACCESS TO;
- Open the permission role settings to check which Teams were selected.
4. Change the permission visibility
Permission to access a feature and permission to view people are separate settings.
After confirming that the role allows access to People, define which employees the user will be able to view.
- Go to People;
- Open the user's profile;
- Remain on the Details tab;
- Select Permission roles;
- Select or add the permission role you want to configure;
- In the Add Permission Role panel, locate CAN ACCESS TO;
- Define the required scope;
- Click Apply.
The available options are:
- People: allows access only to the selected employees;
- Teams: allows access to employees who belong to the selected Teams;
- Departments: allows access to employees in the selected Departments;
- Subsidiaries: allows access to employees in the selected Subsidiaries;
- Cost center: allows access to employees assigned to the selected cost centers;
- All company: allows access to all employees in the company.
5. Which visibility option should I choose?
The configuration depends on the user's responsibilities.
Supervisor of one Team
Under Teams, select only the group they should manage.
Example: if the supervisor manages the Operations Team, assign that Team to their permission role. They will be able to view the employees who belong to that group.
Manager responsible for specific people
Use People when access should be granted only to specific employees without including an entire Team.
Person responsible for a unit or area
Use Departments, Subsidiaries, or Cost center, depending on how the company organizes its employees.
HR or administrator with company-wide responsibilities
Enable All company when the user really needs to view all employees.
Important: you do not need to enable All company to resolve every visibility issue. When the user only needs to manage part of the organization, select only the required groups.
6. How can I identify which setting is incorrect?
Use the behavior reported by the user to identify the cause.
No employees are displayed
Check:
- Whether the correct permission role is assigned;
- Whether People is enabled under Settings > Permissions;
- Whether any scope is configured under CAN ACCESS TO;
- Whether All company should be enabled.
Only some employees are displayed
Check:
- Which Teams, Departments, Subsidiaries, or cost centers were selected;
- Whether the missing employees belong to those groups;
- Whether the Team shown in the Supervisor column is correct;
- Whether specific People were added or left out.
Employees appear on one screen but not another
Check:
- Whether the user has access to the feature in question;
- Whether the screen uses the same scope defined under CAN ACCESS TO;
- Whether a specific permission is disabled in the role being used.
The Supervisor cannot view their Team
Check:
- Whether they have the Supervisor permission role;
- Whether the correct Team is selected under CAN ACCESS TO > Teams;
- Whether the employees are assigned to that Team;
- Whether the Supervisor column shows the expected group;
- Whether People is enabled for the permission role.
7. Confirm the result after making changes
After adjusting the permission:
- Return to the user's profile;
- Go to Details > Permission roles;
- Review the groups displayed under CAN ACCESS TO;
- Confirm that the number of Teams, Departments, Subsidiaries, cost centers, or People is correct;
- Ask the user to reopen the screen where the employees were not appearing;
- Confirm that only the expected employees are now displayed.
If the user can now see more people than necessary, review the scope and remove the groups that are not part of their responsibilities.
Tips or troubleshooting
- The list is completely empty: confirm the People permission and the scope configured under CAN ACCESS TO;
- The user can see only one Team: check whether only that Team was selected in their permission role;
- A specific employee does not appear: check the Supervisor column and confirm which Team they belong to;
- The Supervisor only has the Basic role: check whether the Supervisor permission role was also assigned to their profile;
- The user needs to see the entire company: enable All company in the visibility settings;
- The user needs to see only some employees: use People;
- The role is correct, but the scope is empty: add the required Teams, People, or groups and click Apply;
- Everyone using the same role lost access: review the role configuration under Settings > Permissions;
- Only one user has incorrect access: review the permission roles and scope configured in their profile.

- Treat feature access and visibility scope as separate settings;
- Enable People only for roles that need access to this area;
- Use Teams, Departments, Subsidiaries, or Cost center to limit access;
- Reserve All company for users with company-wide responsibilities;
- Check the Supervisor column when validating Team assignments;
- Review the Profile type before changing permissions;
- Avoid granting an administrative role only to increase visibility;
- After Team changes, also review the permission scope of Supervisors;
- Confirm the result with the user after applying the change.
