Day.io’s web portal allows employees and HR teams to request medical absences directly from a computer.
This feature lets you specify the absence period, choose a sub‑category (such as medical leave or appointment) and upload supporting documents.
Once submitted, the request enters a Pending state until a supervisor approves it, ensuring proper record keeping and payroll accuracy.
Key actions or configuration
Open the Absence & Vacation module:
In the side menu, click Absence & Vacation.
Filter by Select Employee and date range to view existing requests, if needed.
Example: managers can set the range to the current month and search for an employee to see outstanding medical leaves.
Create a medical request:
Select
+New Requestin the top right to open the side panel.Under Vacation & Absences, choose Medical.
Use Select Employee to choose yourself or a team member (requires appropriate permissions).
Check All day if the absence lasts the entire day; otherwise specify start and end times.
Enter the Start date and Time and the End date and Time. Use the Night Shift toggle if the absence affects night hours.
Pick a Sub category—options can include Medical appointment, Medical leave, etc.
Add explanatory text in Comments if needed.
Click Add Files to upload a scanned medical certificate or doctor’s note.
Finish by selecting Confirm. The request will appear with status Pending until approved.
Tips and troubleshooting
Missing Medical option? If you can’t see Medical in the menu, contact your administrator to enable medical absence types.
File upload errors: Only PDF, JPG or PNG files are supported. Resize large images or convert them to PDF if the upload fails.
Best practices
Submit early. File the request as soon as you know you’ll be absent so supervisors can plan coverage.
Attach clear documents. Blurry photos may delay approval—scan or photograph documents in good lighting.
Use the comments field. Clarify the reason for the absence to help your approver make an informed decision.
Frequently asked questions
Can I request an absence for someone else? Yes, provided your role includes the permission to create requests on behalf of others.
Do I always need a doctor’s note? Follow internal policies. Check with your HR Representative in case of questions.
How do I cancel or change a request? You cannot edit an existing request. Cancel it via the trash icon on the list and submit a new one.
