In the Day.io app, you can create Absence or Vacation Requests by entering the period, selecting the appropriate category, and, when necessary, adding comments and supporting documents.
The options available depend on the Request types and categories configured by your company. After submission, the Request will follow the configured approval process and can be tracked from Requests.
Main actions or settings
1. Access Requests and create a new Request
In the app:
- Tap Requests in the bottom menu;
- Tap the + button;
- Select the Request type.
Depending on your company's settings, options such as the following may be available:
- Other;
- Overtime;
- Medical.
The creation screen will open according to the selected Request type.
Important: the Request types and categories displayed depend on your company's configuration.
2. Check who the Request will be created for
At the top of the creation screen, check the employee's name.
If your profile allows you to create Requests for another employee, tap CHANGE and select the correct person before continuing.
3. Choose whether the Request covers a full day or specific hours
Enable Full day when the Request covers one or more full days.
When Full day is enabled, enter:
- Start day;
- End day.
For an absence that covers only part of the day, leave Full day unchecked and enter:
- Start day;
- Start time;
- End day;
- End time.
For example, for a medical appointment from 2:00 PM to 4:00 PM on the same day, enter the corresponding Start and End times without enabling Full day.
4. For night Schedules, review “Apply to yesterday's schedule”
When the absence occurs after midnight but belongs to a Schedule that started on the previous day, enable Apply to yesterday's schedule (date).
For example:
- The Schedule starts at 10:00 PM on the 20th;
- The absence occurs between 12:30 AM and 5:00 AM on the 21st;
- Use Apply to yesterday's schedule to associate the absence with the Schedule that started on the 20th.
5. Select the Category
Tap Category and select the option that corresponds to the reason for the Request.
In the video, the available Medical categories include:
- Accompany dependent;
- Emergency;
- Maternity leave;
- Medical appointment;
- Medical leave;
- Others;
- Paternity leave.
The available options may vary according to your company's configuration.
6. Add comments
Use Add comments to provide additional information that may help explain the Request.
7. Add an attachment
If you need to include a medical certificate, supporting document, or another file, tap Add attachment.
The app provides the following options:
- Take Photo;
- Choose from Gallery;
- Add PDF.
8. Review and submit the Request
Before submitting, review:
- Employee;
- Full day selection;
- Start day and End day;
- Start time and End time, when applicable;
- Apply to yesterday's schedule, when applicable;
- Category;
- Add comments;
- Attachments.
Then tap Create.
Important: the creation screen displays the message Editing is disabled after you submit the request. Review all information before tapping Create.
After submission, the Request will appear under Requests with its current status, such as PENDING, while it waits for the configured approval process.
Tips or troubleshooting
- I cannot find the Request type I need: the available options depend on your company's configuration.
- I cannot find the Category I need: categories are also defined by your company. Check with HR which option should be used.
- I need to request only a few hours: leave Full day unchecked and complete Start time and End time.
- The Request covers multiple full days: enable Full day and complete Start day and End day.
- The absence occurred after midnight: check whether Apply to yesterday's schedule should be enabled so the Request is associated with the correct Schedule.
- I need to attach a document: tap Add attachment and select Take Photo, Choose from Gallery, or Add PDF.
- I submitted incorrect information: the app indicates that editing is disabled after submission. Review the information carefully before creating the Request.
- I cannot use CHANGE to select another employee: the ability to create Requests for another person depends on the permissions assigned to your profile.
Best practices
- Review the employee, dates, times, and Category before tapping Create;
- Use Full day only when the Request actually covers the entire workday;
- For partial-day absences, enter the exact Start and End times;
- For night Schedules, confirm which workday the absence belongs to before using Apply to yesterday's schedule;
- Select the Category that best represents the reason for the Request;
- Use Add comments when additional context may help the approver;
- Attach all required documents before submitting the Request;
- Check the Request status under Requests after submission.
