The Add Employee function lets administrators register new staff in Day.io and grant access to the Time & Attendance.
You can add employees individually or import multiple at once.
During registration you provide personal details (name, CPF/PIS, email, phone and start date) and professional details (cost center, position, team, department, branch and location).
Only users with permission to manage employees can perform this task.

Open the employee list
From the sidebar choose People.

Choose how to add

Click Add employee and select One employee to register individually or Multiple employees to import in bulk.
For bulk import, the system provides a spreadsheet template (more details in this article).

Enter personal details (single employee)

A side panel Add employee opens. Under Personal details complete:
Full name;
Toggle Use preferred name and fill Preferred name if applicable;
CPF;
PIS numbers (required for REP hardware integration);
ID (Matrícula) if used;
Email (necessary for computer acess) and Cell phone number (necessary for mobile app access);
Start date – pick the employee start date from the calendar.

Enter professional details

Expand Employee details and choose:
Cost Center, Position, Team, Department and Subsidiary – each dropdown includes a + New link to create new categories;
Team - choose the team the employee will be part of, based on their direct supervisor (more details in this article).
Select a location – choose the default location for the employee.

Set permissions and notification
- In the Permission roles section, select the employee's permission level. Basic for employees who will not be leaders and Supervisor for employees who will have a team on the platform.
- Enable Notify the employee to send a welcome email with access instructions. Disable if you do not want to notify immediately.

Finish registration
Click Add to save or Cancel to discard.
Tips / Troubleshooting
The PIS number is mandatory when using external REP time‑clocks; without it employees will not be able to punch on those devices.
Double‑check the email address before saving so the welcome message reaches the correct recipient.
Best practices
Create all cost centers, departments and positions beforehand to speed up the registration process.
Use the bulk import when onboarding a large number of employees or migrating from another system.
FAQ
Can I register an employee without an email address?
Yes. However, the email address is required to invite the user to access the site via the web and allow them to reset their password.What happens if I disable “Notify the employee”?
The employee will be created but will not receive a welcome email.
