How to correct a holiday that was incorrectly applied to an employee?
A holiday may continue to appear in Super Punch when the employee is removed from the Holiday Group only after the date on which the holiday occurred. This happens because the removal takes effect from the date entered and does not automatically correct the previous period.
To correct the assignment retroactively, add the employee to the group again and remove them using a date before the holiday:
- Go to Holidays;
- Select the Holiday Group that was incorrectly applied;
- Open the Employees tab;
- Add the employee to the group again;
- Under Start date, enter a date before the holiday;
- After adding the employee, remove them from the group again;
- For the removal date, enter the day before the holiday;
- Check Super Punch to confirm that the holiday is no longer applied to the employee.
When an employee is assigned to a Holiday Group, the Start date determines when that configuration takes effect.
Example: the employee was assigned to the New York Holidays group but moved to another state. A holiday from the previous group was applied on July 20, and HR only removed the employee on July 23.
To correct it:
- Add the employee to the group again with a start date of July 18;
- Remove the employee again effective July 19.
This way, the employee no longer belongs to the group before the July 20 holiday, removing the incorrect application from Super Punch.
Why don't some federal holidays appear automatically in the default group?
The default group may already include federal holidays that occur on the same calendar date every year, such as Independence Day and Christmas Day.
Other federal holidays are observed according to a weekday rule, so their calendar date changes from year to year. Examples include:
- Martin Luther King Jr. Day: third Monday in January;
- Presidents' Day: third Monday in February;
- Memorial Day: last Monday in May;
- Labor Day: first Monday in September;
- Columbus Day: second Monday in October;
- Thanksgiving: fourth Thursday in November.
These holidays should be added again each year using the correct date for that year. The Repeat annually option should only be used for holidays that always occur on the same month and day, because it repeats the event on that exact calendar date.
If a holiday with a changing date does not appear in the group:
- Go to Settings > Holidays;
- Open the default federal Holiday Group;
- On the Holidays tab, click + New holiday;
- Enter the holiday name and the correct date for the year;
- Select the corresponding level;
- Do not enable Repeat annually;
- Save the holiday.
Review the calendar at the beginning of each year to add holidays whose calendar dates change.
